  1. Definitions
  • Unless otherwise stated, or the context otherwise requires, all words defined in:
    • the Company’s Memorandum of Incorporation (“MOI“);
    • or, in respect of each Member, the Use Agreement entered into between the Company and that Member, in force from time to time (“Use Agreement“),
  • shall bear the same meaning when used in these House Rules, but in particular, in these House Rules:
1.3              Allocated Days – in respect of each Member’s Right of Use of the Lodge, means  the aggregate number of days per annum stated in the Use Agreement of that Member;
1.4              Bookings Admin – means the person or entity authorised by the Company from time to time to administer all aspects of bookings for the Lodge;
1.5              Leolapa Lodge  – means certain immovable property, namely Portion 31 of Erf 1, Mjejane Game Reserve in the township of Mjejane, in the Province of Mpumalanga, together with all buildings and erections thereon;
1.6              Check in Date – in respect of any booking made by a Member, the date on which the Member is required to check in to the Lodge;
1.7              Deposit – in respect of a Booked Payment, means 50% of that Booked Payment;
1.8              Game Drive Rates – means the  rates payable for game drives, in accordance with the rates chart approved by the Board;
1.9              Guest – means an invitee of a Member;
1.10           Lodge  – bears the same meaning as ‘Property’, as defined in the MOI, and ‘Leolapa Lodge’ has the same meaning;
1.11           Lodge Rates – means the rates payable in respect of the Lodge, in accordance with the rates chart approved by the Board.
1.12           Notice – in respect of a notice required to be given:

1.12.1              by a Member to Bookings Admin, means an email sent by the Member to Bookings Admin to res@leolapa.co.za; and

1.12.2              by Bookings Admin to a Member, means and email to the Member at the email address for that Member held on record by the Company;

1.13           Outside Bookings – means bookings for the Lodge made by persons who are not Members;
1.14           Outside Bookings Rates – the rates applicable from time to time for Outside Bookings;
1.15           Peak Periods – means certain dates in December (Christmas), March/April (Easter), July, August, public holidays, public & private school holidays, long weekends;
1.16           Reservation Payment – in respect of any one booking by a Member, the total payment due by the Member for that booking.
  1. Status of House Rules
    • These House Rules have been adopted by the Shareholders in accordance with the process provided for in the MOI and are accordingly binding on each Member.
    • Each Member has a Right of Use of the Lodge for that Member’s Allocated Days, but that Right of Use must be exercised in accordance with these House Rules, and that Member’s Use Agreement.
  2. Bookings
    • A Member may not, in any one booking:
      • book more than 7 sequential days;
      • book less than 2 days, which must be in sequence.
    • International members may book 14 sequential days
    • The Members recognize that it is in the interests of the Company to reserve Peak Periods for Outside Bookings. If a Member wishes to book the Lodge during a Peak Period, then that Member is liable for the Outside Bookings Rates as the norm with the proviso that the Booking Agent is vested with the discretion to lower if no other booking appears to be forthcoming.
    • Notwithstanding the rules set out in clauses  1 and 3.2, Bookings Admin is vested with the authority to deviate from these rules if the Lodge may otherwise be vacant for any particular period subject to agreement by a board member.
    • A Member wishing to book both the Lodges may do so, provided that
      • the Member must pay:
        • the Lodge Rates applicable to the Lodge in which he/she owns shares; and
        • the Lodge Rates applicable to the other Lodge for non-Shareholders and
      • the period for which the booking is sought is not during a Peak Period; and
      • the aggregate number of the days booked for both the Lodges will count as part of the Member’s Allocated Days unless paid for at full Guests rates.
    • Bookings Admin will refuse a booking for a Member if that Member is not up to date with all payments of whatever nature that may be due by that Member to the Company.

 

  1. Bookings Procedure and Payment
    • Members must make all bookings with Bookings Admin, via email:
    • Bookings Admin must confirm the booking by Notice to the Member, and request the relevant 50% Deposit from the Member.
    • The booking is only secured upon payment of the Deposit and submission of proof of payment by the Member to Bookings Admin.
    • The Member must pay the balance of the Reservation Payment no later than 60 days prior to the Check in Date. Bookings Admin must send the Member a reminder for this payment no later than 7 days before due date, and Bookings Admin reserves the right to cancel the booking, after Notice to the Member. If the Member fails to pay the balance within 24 hours the booking is cancelled and forfeit the deposit. Subject to agreement with a board member.
    • All payments must be made via electronic transfer to our nominated Bank Account
  2. Cancellations
    • A Member may cancel a booking, by Notice to Bookings Admin, in which case the following cancellation charges fall due:
      • if the Notice of cancellation is given 61 days or more prior to the Check in Date, none of the deposit will be forfeited. Refunds applicable.
      • if the Notice of cancellation is between 30 & 60 days prior to the Check in Date, the full amount of the Full Payment will be carried forward to a new Booking to be made in such person’s name. No refunds.
      • if the notice of cancellation is 8-30 days, 50% of full payment is lost and 50% carried forward to a new Booking to be made in such person’s name irrespective of whether the unit was subsequently booked.
      • if the notice of cancellation is 7 days or below then 100% of total payment is lost. Member may present case to board.

 

  1. Check In
    • Check-In at the Mjejane Gate on the N4 Highway is at 13h00 at the earliest and 20h00 at the latest whilst Check-Out is no later than 10h00 on Weekdays and 09h00 on Saturdays, Sundays and Public Holidays.
    • The Member/Guest must request and receive Mjejane Game Reserve access codes prior to departure from Bookings Admin, namely res@leolapa.co.za, indicating Name, Cell Phone Number and number of occupants in each vehicle.
    • Bookings Admin must ensure that the Member/Guest receives access codes 12 hours before departure, failing which the Member/Guest has the responsibility to follow up on this. Upon receipt of the access codes, the indemnity and access forms must be completed on the link sent by Booking Admin before Access is verified.
    • A Road Levy, currently at R200 per vehicle per week is payable by Credit Card upon entry to Mjejane Game Reserve.
  2. Vehicles and fines
    • No private vehicles are permitted on Mjejane Property other than for the conveyance of Members and their guests from the main Mjejane Gate on the N4 to the Lodge and back to the Main gate.
    • Each Member is responsible for any speeding fines incurred by that Member, any member of that members Immediate Family, and/or any Guest of that Member. Any vehicle trapped at more than 40 km/h between the Mjejane Access gate and the Lodges or entering No Entry roads will be fined by the Mjejane Game Reserve. A system is installed which will activate an alarm and you will be liable to pay your fines prior to leaving the Mjejane Main Gate.

PLEASE NOTE THEY ARE EXTREMELY STRICT WITH THESE NEW RULES.

  1. Game Drives
    • Member/Guest must book morning or afternoon game drives in advance by emailing res@leolapa.co.za
    • The Member/Guest is liable for payment of each game drive at the then prevailing Game Drive Rates. Payment must be made into the Game account on receipt of confirmation.
    • Tips for the qualified Ranger are at your discretion and may be made directly to the Ranger in cash. It is recommended that such tips are between R100.00 and R300.00 maximum per drive but remains at the member/guest discretion
    • Drives into the Kruger in your private SUV or 4×4 are available across the Mjejane Bridge at an additional cost. Contact hoa@mjejane.com or phone 013 591 7125 for reservations and/or for full details. These drives are subject to the availability of permits of which only a certain number are issued by the HOA each day.
    • Self Drive Game Drives are not permitted with existing vehicle.
    • Contact Booking Admin on res@leolapa.co.za for any problems/concerns you may have with your respective bookings or phone Gail on 082 906 0463.
  2. Lodges Section
    • The Lodges are listed as 5 star self-catering lodges with SA Tourism Council as at October 2022.
    • Please note the lodges’ rules are displayed at the entrance to each Lodge. Failure to adhere can result in fines which the members making the booking will be liable for.
    • Breakages and damages to the lodge or contents may be chargeable to the member.
    • Please advise staff of any breakages.
    • A domestic cleaning and maid service is provided Mon-Fri 8 am to 3 pm and on Saturdays from 08h00 to11h15 and encompasses the following:-
      • Kitchen cleaning
      • Rooms and Bathrooms cleaning and making of beds
      • General Areas cleaning
      • Changing of Linen as instructed by Management.
    • A gardener is in attendance to perform outside cleaning, pool maintenance, wood supply and braai cleaning etc.
    • A cleaning and maid service is available on Public Holidays and Sundays at a fee determined on the Lodges Rate Chart. Contact res@leolapa.co.za timeously for this service.
    • Please note that Mjejane Game Reserve has taken on a recycling initiative which benefits the local population. Please note the signage in the houses for the disposal of your waste into the correct rubbish bins.
  3. WIFI Section
    • Wifi is available at both lodges.
    • LeoLapa password = leolapa31 ; Buffalo Brooke password = buffalo30
  4. DSTV Section
    • A full DSTV package is available
  5. Torches Section
    • Personal torches may NOT be used on game drives. Torches may be used from the lodge patios however they must at all times have a red filter or lens fitted.
    • White light damages the eyes of animals and exposes them to dangers whilst blinded.
    • Please be aware that should you use white light and are reported a severe fine is imposed on you by the National Parks, currently in excess of R2000.

 

  1. Solar Section
    • Please note that an advanced on line solar system has been installed to assist you in your holiday experience and is monitored daily.
    • DO NOT INTERFERE WITH ANY CONTROLS AT ANY TIME
    • Should a problem be experienced call Lynette on 083-447-3615. Advise whether LeoLapa or Buffalo Brooke.

Note: In most cases the problem can be resolved remotely.

  • In the event of load shedding or local power failure power, the Air Conditioners, Swimming Pool pump/lights, and large appliances will not function. However, power will continue throughout the lodge to the Television, lighting, fridges, ice maker and fans.Wifi will continue unless failure is severe and regional.
  • The Air Conditioners should be set at a minimum of 20 degrees Celsius to assist with the longevity of the units.

    • A number of communications systems are in operation for Owners and Guests utilizing internet. emails and WhatsApp systems namely :-

  1. Repairs/ Damage Notification Section
    • Please report any area requiring attention i.e. electrical, plumbing, pool, gas etc. to lynette.warner1@gmail.com.
    • We are all aware that damage and breakages do occur. In general, we will not impose a cost however the sooner we know the sooner it can be replaced for the next guests. Please complete the provided form and hand to lodge management on departure or leave in the kitchen. Thank you.
